We want Dear Friend to be a positive experience for everyone while also making sure that everyone's personal information is being handled responsibly! Who We Are

Dear Friend is a mail club and handmade shop run by teens dedicated to creating connected, positive, and creative spaces for young people. We respect the privacy of our members and their families. In this Privacy Policy, we explain what information we collect, why we collect it, how we use and protect it, how long we keep it, and the choices available to members and their parents or guardians!

Age Requirements

Dear Friend is for teens ages 13 through 19. Participants who are ages 13 through 17 must have permission from a parent or legal guardian before participating in Dear Friend. Participants aged 18 through 19 may provide consent for themselves. Dear Friend is not currently accepting people who are under the age of 13! We ask for the participant’s age so we can confirm that they are within the program’s age range and apply the appropriate consent requirements.

Information We Collect

In Dear Friend, we only collect the information necessary to operate as a mail club and provide our services. This includes…

  • First and last name

  • Age range

  • Mailing address

  • Email address

  • Parent or legal guardian's name, email, and consent for participants ages 13 through 17.

Optional Information

Members may choose if they would like to provide any additional information to help us personalize their mail and learn a little bit more about them, including…

  • Birthday (month and day)

  • Pronouns

  • Interests and hobbies

  • Any other information they choose to share for personalization

Optional information is not required to participate. Dear Friend does not require members to provide Social Security numbers, passwords, financial information, bank information, or any other unnecessary sensitive information.

How We Use Information

Dear Friend does not collect information just for the sole purpose of it being available. Information is collected for any specific thing that is related to the program's purpose.

  • Name: To identify members and personalize letters and packages.

  • Preferred name: To appropriately address members by the name they prefer.

  • Age: To confirm eligibility to join and to factor in whether or not parent or guardian consent is required.

  • Mailing Address: To send Dear Friend letters and packages.

  • Email address: To communicate about the applications, membership, program updates, and requested communications.

  • Parent or guardian information: to obtain consent for participants aged 13-17 and to communicate with parents or guardians at appropriate times.

  • Birthday: to send an optional birthday message, letter, or small surprise.

  • Interests: To personalize letters, messages, and any other Dear Friend materials.

Who We Share Information With

Dear Friend does not sell, rent, or trade members' personal information. As of today, access to members' information is limited to the Dear Friend founders. As Dear Friend grows, trusted volunteers or team members may receive limited access to information when it is necessary for their responsibilities. Volunteers will only receive the information they need for their specific role. Dear Friend currently uses Brevo for certain email communications and mailing-list communications. Information may be processed by Brevo as necessary to provide those services. If Dear Friend begins using additional services to collect, store, or process member information, this Privacy Policy will be updated to reflect those changes. All private information of members will be deleted once a member chooses to opt out of Dear Friend's Mail Club.

  • Using appropriate account security measures
